ICAC Plenary Meeting Sponsorship and Revenue Policy

Code of Conduct for Sponsors

Alignment with ICAC Mission: All sponsors must demonstrate alignment with ICAC’s mission and core values, particularly concerning sustainability, inclusivity, and integrity.

Conflict of Interest Avoidance: Sponsors must disclose any potential conflicts of interest to ICAC and agree to abide by ICAC’s non-influence policy regarding meeting content, policy recommendations, and publications.

Commitment to Ethical Standards: Sponsors must adhere to ICAC’s standards of conduct, promoting respectful engagement and supporting ICAC’s reputation as a leading intergovernmental organization in the cotton sector.

Reporting to Member Governments

ICAC will provide regular updates to member governments and the Subcommittee on Budget regarding the sponsorship arrangements and approaches undertaken for the Annual Plenary Meetings. These reports will outline the sponsorships secured and their contributions to the event’s success. This information will ensure member governments remain informed of, and support, ICAC’s efforts to enhance the Plenary Meeting experience through carefully considered and mission-aligned sponsorships while upholding the event’s integrity and inclusivity.

Sponsorship Guidelines and Structure for ICAC Plenary Meetings

ICAC is committed to maintaining the integrity, neutrality, and high standards of the Plenary Meeting. To support these principles, the following guidelines outline the structure and limitations of sponsorships:

Visibility and Branding: Sponsor branding is restricted to designated areas to preserve the neutrality of the main conference space. Sponsor logos and acknowledgments may appear on:

  • Pre-event materials such as the ICAC website and digital invitations.
  • Specific event spaces, including exhibitor booths, registration areas, and ICAC’s official social media posts.

Speaker and Agenda Independence: Sponsorship does not grant speaking roles or influence over the meeting’s agenda. ICAC and the Host Country retain full control over speaker selection to ensure discussions are expert-led and aligned with ICAC’s mission.

Exhibitor Spaces: Sponsors will have access to exhibitor spaces outside the main conference room, allowing them to display materials and engage with attendees without impacting the neutrality of the main conference environment.

Non-Influence on ICAC Content: Sponsorship does not permit influence over ICAC’s reports, publications, or policy positions. ICAC retains full editorial control over all materials to ensure impartiality.

Sponsor Acknowledgment: Sponsors will be recognized in a “Thank You to Our Sponsors” section in select materials, such as the conference program and ICAC’s website. This section provides simple logo or name placement, maintaining a formal tone without additional promotional content.
